How to Remotely Access to Your Internal Extensions and Voicemail

Important:
Accessing your internal phone extensions or your voicemail system from an external phone number is considered a security vulnerability.

Voicemail access from outside calls is restricted by default for security reasons. Only secured devices connected to the phone platform (desk phones, smartphone apps, web clients or Windows & Mac apps) can currently access your voicemail system.

If you still want to allow remote access to your internal phone system, please contact your supervisor, account manager or Connexium representative. Once approved, you will have 2 options:

1- Caller ID Filtering

We can set up special rules that will grant access to your voicemail system only from specific phone numbers when calling your main phone number. Your mobile phone, for example. Incoming calls to your phone system from predetermined numbers will be redirected to the voicemail menu instead of the default routing for regular calls.

PROS:

  • More secure
  • Can give access to specific employees

CONS:

  • Will skip the regular caller rules. It will not be possible to call your office number like a regular customer anymore. The Filter will take precedence.
  • Can be limiting since you will have to call from numbers already programmed in the system.

2- Dedicated Phone Number*

This method is very similar to the previous one but involves a dedicated number (often called a "back door" number).

It's a secret or dedicated phone number used by you, your employees or anyone who have the number, to access your internal phone system. A dedicated phone number can be limited to the voicemail menus or give the callers direct access to internal extensions.

A dedicated phone number can also have Caller ID Filtering applied to increase flexibility and security. 

PROS:

  • More flexibility to reach your voicemail system or internal extensions from any numbers

CONS:

  • This method is the most vulnerable to malicious access and should be considered a security risk to your business.
  • Anyone with the number can directly dial internal extensions within your business.
  • Open to robocalls and other SPAM-type calls
